Service Items

Service Items define the pieces of equipment that are contained on a Service Contract. From within an individual Service Item, a Sales Order may be created using the "Create SO" button. Otherwise, orders may be manually entered and the desired Service Contract and Service Item can be selected on the Sales Order line. The process for using Service Items and Service Contracts is discussed via the Managing Service Contracts page.

Edit Service Item form

Opened via the "New" or "Modify" button on the Service Items form, the Edit Service Item form lists all Service Labor Rates added as part of the item. Clicking the "Add" or "Modify" buttons will open the Edit Service Labor Rate form, which is used to define a name for the Service Labor Rate and assign a non-stock Part Number to represent the labor fees for service and an Operation that will be used for time tracking, labor, and burden costing purposes.

Create SO

Opens the Edit Service Item Order form, which is a mover form used to select the Service Item and Labor Rate(s) that should be included on the order.

  • This form is used create a variety of Sales Orders, including the original shipment of the serviceable item, ad-hoc service on the item, and recurring preventative maintenance on the item.

  • Additional information on the process is available via the Managing Service Contracts page.

Name Defines the name of the Service Item that will appear on orders, which must be unique.

Part Number

Search field used to select a Part Number that represents the actual piece of equipment contained on the service agreement.

  • This Part Number can be any Part flagged as "Saleable" on its Item Master Properties tab.

  • This Part may also be a Phantom part if the company wants to ship a piece of equipment and do maintenance on the individual components of the equipment. Information on phantom parts is available in Using Kitted Parts.

Serial

Defines the serial number of the piece of equipment contained on the service agreement.

Contract

Search field used to link this Service Item to a Service Contract.

Bill-to Company

Indicates the Bill-to Company to which this Service Item will be linked.

Ship-to Company

Indicates the Ship-to Company to which this Service Item will be linked.

Active

If checked, this record is active. Only active records may be used in the system.

Default

If checked, this Service Item is the default.

Edit Service Item Order form

Opened via the "Create SO" button on the Edit Service Item form, the Edit Service Item Order form is a mover form used to select the Service Item and Labor Rate(s) that should be included on the order.

Continue

Opens the Sales Order Entry form with fields and lines populated based on the mover form selections.

  • The header section populates based on the Service Item selected and the line section populates based on the Labor Rates selected.

Display Pick list used to determine if Components, Labor Rates, Service Items, or all of the above should be displayed.

Recurring

If checked, indicates the service will recur with the details selected and created the Sales Order with an "Order Type" of "Recurring".
