Deacom 17.01 Release Notes
Please reference the DEACOM suggested update path prior to installing DEACOM updates.
Accounting
- Import Payment Information with Properly Formatted Excel Spreadsheet - The "Import Excel" button has been added via Accounting > Cash Receipts to allow the import of payment information from a properly formatted user selected spreadsheet. The spreadsheet must have all six of these exact column names in this exact order: Date Paid, Order Number, Bill-To PO, Check, Amount, Payment Type. The following two columns may optionally be added at the end of the six required above: Adjustment Amount, Adjustment Account.
- Adjustment Date Options - A new field, "Adjustment Date", has been added to the Order Adjustments form. This field is used to set which date will be recorded for the adjustment in the general ledger. Options are "Received Date" and "Today". The security setting "Accounting -- change purchase order adjustment date" allows access to change the default setting for this field.
- Cash Flow End Date - The "End Date" field in Accounting Reporting will now be honored when running the Cash Flow report as the end date for the data that is returned in the report.
- Paymerang Accounts Payable Integration - Deacom's integration with Paymerang supports streamlined invoice and payment automation for accounts payable processes. The feature allows companies to generate payment files which the company will then send to Paymerang’s platform, which will deliver the payments. See Processing Accounts Payable With Paymerang for additional information.
- Financial Reports - Position Number - The "Position" name was added to the grid that is printed when running and exporting position type financial reports. Previous only the position number was included.
- Encrypted Bank Account Information - The following fields are now encrypted via Accounting > Maintenance > Bank Accounts:
- Bank ID
- Account Name
- IBAN
- When upgrading , the updater will automatically encrypt any data entered in these fields.
AutoFinisher
- 32 Bit Support - Beginning in version 17.01.041, the autofinisher install process supports 32 bit.
DSD
- Direct Store Delivery App - The Shipped (qty) field is editable to allow short-shipping. The Select Lots button on the bottom is now disabled when the Required quantity is negative
- Expiration Date for Returns - The "Expiration Date" field is available on the Reserve form/screen in the DSD application to support returns, on sales orders, of items that require an expiration date.
Inventory
- Automatic Lot Serialization During Reserving - A new field, "Serialize On Reserve", has been added to both the Bill-To and Ship-To customer records. If this field is checked, the system will conditionally add serial numbers to lots at the time they are reserved to a Sales Order using this Ship-To Customer, either through the main application or in WMS. Additional information is available via the links in the first sentence.
- Project Filtering in MRP - A new searchbox, "Project", has been added to the MRP pre-filter. This allows the user to select an active project to filter all results to the respective sales orders and purchase orders assigned to the selected project.
- Capture Signatures During Receipt - A new button, "Signature", has been added to the Receive Purchase Orders form. The button can be used to store the name of the person receiving material on the order.
- Include Requisitions in MRP pre-filter - When MRP is run, the new requisition filter is honored. If 'Exclude' - Keeps current functionality. If 'Include' - Requisition purchase orders with a due to dock date are included in the results. These orders are evaluated the same way a regular purchase order is.
- Inter-Company Transfer and Purchase Order Receipt Stop - When attempting to receive ICTs or POs in the main application, the system will now check to see if any of the lots on the selected ICT/PO have already been received in the WMS application and, if so, prompt the user that the order cannot be received in the main application.
- Lot Cost Updates - Purchase Orders (Price Variance) - The system will now use the purchase order line invoice price (pu_invoiceprice) , and not the standard cost, to update the lot costs for onhand inventory if the following conditions exist when using the "Purchase Orders - Price Variance" Update Type via Inventory > Cost Updates:
- If the system is in actual cost mode.
- If the lot was originally brought into inventory on a Purchase Order, the system will look at the PO that the lot was brought in on, and, if the lot cost (fi_cost) is still currently at the price it was received at (pu_price), then the system will check to see if the price in pu_invoiceprice is different from pu_price. If so, a value-only adjustment will be made for those lots using the pu_invoiceprice.
- Lot Costs on Returned Linked Sales Orders - When using Actual/FIFO costing in the system, if the "Return Lots from Linked Sales Orders" field is checked in Sales > Options, lots returned that were shipped on the linked sales order will be returned at the same lot cost as when they were shipped. Any lots returned that the user entered, and are not linked to an original lot shipped will use the current functionality which checks last cost and then standard cost.
- Default BOM Revision Field Added to Revision Searchboxes - The default revision field (re_default) is now available in the "Name" field dropdown when adding or modifying searchboxes.
- New Prompt in Physical Inventory - Facility Items - A new system prompt was added, when posting changes for a physical inventory, that will list all items requiring a facility entry (facility cross reference part). The prompt will list the facility or facilitates and all appropriate Deacom item numbers. This replaces the previous behavior where the system would list each item/facility combination individually, requiring the user to address the missing entry one at a time in order to post changes.
- Remove Transaction Lock on Item and Inventory - Completion of Physical Inventory - The "Allow Inventory Transactions" field was added to the Edit Worksheet form via Inventory > Physical Inventory. When this field is checked, the system removes the lock on items/inventory included in the physical inventory worksheet at the completion of the physical inventory, thus allowing the items/inventory to be used for transactions throughout the system.
- Facility-Specific Item Lot Control - Lot control can be maintained on Facility-specific parts. This is handled by the addition of the "Require Lot On Relief" and "Require Lot On Receipt" fields on the General tab of the Edit Item Facility form. Each of these fields contains a drop down list with three settings:
- Follow Item Master (default setting) - the system will check, and enforce, the setting for the "Require" Lot On Relief" and "Require User Lot On Receipt" fields on the Properties tab of the Edit Item Master form.
- No - the system will not require lot control when handling lots for this item in the selected Facility.
- Yes - the system will require lot control when handling lots for this item in the selected Facility, regardless of the setting for the field on the Properties tab of the Edit Item Master form. This feature is useful in situations where companies have multiple Facilities and only require strict lot control in certain ones, allowing the other Facilities to assign/backflush lots automatically, and therefore make daily/weekly production easier and potentially faster.
Mobile
- All checkbox for Search Boxes - Search boxes in the Mobile application now contain an "All" checkbox. If checked, this indicates that the search will be performed on all columns in the report.
MRO
- Job Summary Screen When Creating Multiple MRO Jobs - When creating multiple jobs for MRO (via Production > MRO), the system will display the resulting jobs in a job summary report instead of opening in separate edit job forms.
Print Outs
- Select All Report Objects - A "Select All" button has been added to the Report Layout toolbar. If clicked selects and outlines all report objects to allow them to be moved, cloned, modified etc. All objects will appear as blue when this button is clicked.
- Parent and Parent Name Report Variables for Sales Features Print Outs - Two report variables, "f2_parent", (representing the feature parent) and "parentname" (representing the feature parent name) are now available to the Sales Configurator reports (Salefeat, Salefeat2, Salefeat3, Salefeat4 and Salefeat5 reports) via Print Outs > Maintenance > Report Layouts. These variables allow for grouping of the features based on feature configuration structure.
Production
- Job Relieve Test Type Addition - A new option, "Finish", has been added to the Job Relive Test Type field in Production > Options. If the finish quantity = "0", the system will not perform the relive the check and no errors will be presented to the user. This is useful when simply closing jobs that have already been relieved and have a finish quantity of "0". If the the finish quantity is > "0", the system will perform the same check as when the Job Relive Test Type is set to "Always".
- Job Date Calculations Options - The Job Date 1-5 calculation fields have been added to Production > Options to allow the automatic populating or updating of the Job Date 1-5 fields on jobs. Useful for companies that use these dates in connection with scheduling/rescheduling jobs and for updating the dates for specific criteria, such as all jobs in the same shop area.
- Marking Work Centers Unavailable In Relation to Subsequent Routing Sequences - A new feature has been added which was designed for situations where a work center will be tied up and needs to be marked unavailable for scheduling based on where and when operations on subsequent sequences on the same job occur. Additional information is available via the Configuring Availability and Availability Exceptions section.
- Over Issue Percentage Considerations on Job Inventory Status Colors - A new filter, "Over Issue", has been added to the calendar pre-filter. This field offers the option to have over issue percentages considered for job requirements and colors. Options are Include (default) and Exclude. Only available when using a Report Type of "Job Inventory".
Purchasing
- Allow Multiple Users to Receive Purchase Orders on WMS - A new flag, "Allow Multiple WMS Users to Receive Simultaneously", has been added to Purchasing Options. When checked, different users can receive the same PO, with prompts put in place to address any potential overlap in receiving the same line.
- Cancel Backorders When Un-Receiving Purchase Orders - A new flag, "Cancel Backorders When Un-Receiving", has been added to Purchasing Options. When checked, any un-received backorders for an un-received Purchase Order will also be cancelled.
- Facility-specific Ship Via Restrictions - Search box filters offers users the ability to only display Ship Vias that are available to that Distributor and can also be used to restrict Ship Vias to specific Facilities and order types (sales or purchasing). More information available on the Ship Via Methods page.
- Updated logic regarding splitting PO and SO deals - PO deals now function similarly to SO deals where navigating from the main menu will take users to a pre-filter, then main grid, then add form. The logic has also been split into separate classes/form types.
- Vendor Group User Fields - User Fields are now available for Vendor Groups.
- Drop Shipment Order Type Field - This field, in Purchasing > Options, supports Work Flow functionality for Drop Shipments. The functionally in this field introduces two new changes:
- Work Flows are now attached to the Drop Shipment Purchase Order by using the Default Work Flow set on the Vendor record.
- If the Purchase Order option is set in this field the system will check if any of the sequences on the attached work flow are required to make PO. If there are no work flow sequences set to required to make PO, the system will create the order as a purchase order type. If any sequence(s) is required to make PO, the system will create the order as a requisition order type even if this field is set to "Purchase Order".
- Additional fields to Invoice All form - Vendor, Current Total, Invoiced Total, Facility and Account added to Invoice All form as well as new functionality for how to apply the difference.
- Purchasing Adjustments Functionality Changes - A new field, "Display All PO Lines For Adjustments During Invoicing" has been added to system options. If this field checked, one row for each Purchase Order line will automatically be displayed on the Order Adjustments form when performing adjustments during PO invoicing. Additional information is available in Purchasing > Options. This field was added to allow increased functionality for matching the data between received and invoiced amounts and making adjustments as necessary. If this field is left unchecked, the current order adjustment functionality will be in effect. Additional information is available via the Purchasing > Options link above.
- Automatically Receive Freight PO - Added an option to automatically receive linked freight purchase orders. In Purchasing > Options, the new field, "Auto Receive Linked Fright PO", if checked, will result in freight purchased orders, linked to the original purchase order, to be received simultaneously.
Quality Control
- QC Frequency Type Changes - a new field "QC Freq Lot Type" field, has been added both on the item master and Bill of Materials revision level. Options are Follow Inventory Options, System Lot, or User Lot. Setting the option on the item, or revision level, supports scenarios where the QC frequency differs based on the item type. For example, setting the QC frequency to System Lot may be useful for raw materials and components, where lots will be tested on a system lot basis. Having the QC frequency set to User Lot may be more useful for lots that are produced (finished goods and sub-assemblies) that will be tested by user lot. Example - If a pallet containing 400kg of powder is made up of 10 kg per finish, that is 40 different system lots, but the user lot remains the same across all 40 finishes and all 400 kilos need to stay unified for testing purposes on the user lot level.
System
- Allowable Attachment File Extensions - A new field, "Allowable Attached File Types", has been added to the Documents tab within System > Options. This memo field is used to define the file extensions that may be uploaded as attachments in the DEACOM system. Disabling certain file extensions/types, such as html, can be useful to help prevent malicious activity. The field comes default with the following extensions: .ai, .bmp, .doc, .docx, .eps, .gif, .jpeg, .jpg, .odt, .pdf, .png, .ppt, .pptx, .rtf, .txt, .xls, .xlsx, .xml. When uploading a document as an attached document, the system will check this field to see if any of the comma-separated file extensions match the file extension of the document being uploaded. If the attachment is not one of the allowable file extensions, the user will receive the following prompt: "This file type is not an allowable attached file type. Please contact your system administrator to add this file type to the allowable list."
- New security setting 'Sales orders - apply credits to new orders' - This allows the user to apply open credit orders to new orders as a pre-payment.
- Font Size and Font Type Options for Memo Fields - Two new fields, "Memo Box Font Name", and "Memo Box Font Size", have been added to System Options. These fields define the font size and type that will be used in all Memo boxes throughout the system. This is not the same as a default since the user cannot change the font size or type on the fly in Memo fields. Useful in situations where User-Defined Memo fields need to match the font name and size on generated reports/print outs.
- Release Records - A new report, "System Locks report" has been added in History/Performance when the pre-filter has Type "System" and Report Type "Record Contention". This report details all current locks on the system including information such as date, time, user, and action. Users can then select "Release Record" to remove the highlighted lock for the user. Note that for critical locks, admin access is required.
- New Security Permission - Added security "Production -- final stage / issue inventory with eSignature" that will now be used when Issuing/Final Staging. Originally, the "Quality Control -- approve QC with e-signature" security setting was controlling both of these functions, but they need to be separate in order to control access to who can approve a QC test with an e-signature and who is able to use an e-signature to complete final staging.
- Deacom Local - Multi-User RDP Local - Beginning in version 17.01, dynamic ports may be added to DeacomLocal. This options handles scenarios in which multiple users are connecting to the same RDS server, and each RDS session has its own Deacom Local server running and needs their web app session to connect to their own Deacom Local server. The process and details associated with this option are available via the Multi-User RDP Local help section.
- OAuth2 Support For Trigger Emails - OAuth2 support has been added for Trigger Emails. If this field is set to OAuth2 and sending an email using trigger credentials, the system will use OAuth2 to send the trigger email.
- Token Storage/Creation for OAuth2 - The system was enhanced to reduce unnecessary and frequent authorization for the users. When the user's credentials are needed, the system will check the Authorization Expiration and Date (us_authexp date/time) fields to see if a new authorization is needed, otherwise, the system use the stored token from the database to update the session. If a new token is needed, the system will obtain the token following the process for OAuth2 and update both the session and and fields in Users (dxuser) table as appropriate.
- Azure Single Sign-On Authentication - SSO authentication has been added via the new SSO fields on the System > Options > Authentication tab. See the Setting up Azure with Deacom section for additional information.
- System Caching - Reduced to 60 Seconds - Reduced the caching time to 1 minute. Now, all calls to refresh the company configuration now also signal the re-platformed company configuration to refresh too. This was done so that multiple application servers don’t get too far out of sync. Example: changes in System Options (Purchasing, Acct etc..) now take affect after 60 seconds.
- Cursor Focus and Tab Behavior - Cursor focus and tab has been enhanced. Fields with an underline will display the underline as thicker and colored blue when the field has focus. Checkboxes can now be tabbed into, and will be colored when focused. In addition, when tabbing into a ComboBox, the outline will change to be thicker and colored blue to indicate the field has focus.
Sales
- Simple, Double, and Triple Exponential Smoothing Forecast Options - Three new forecast methods have been added to the Create Forecasts form via Sales > Order Reporting. These options are "Simple Exponential Smoothing", "Double Exponential Smoothing", and "Triple Exponential Smoothing". The methods represent time series forecasting for univariate data that can be extended to support data with a systematic trend or seasonal component. Additional information is available via the Forecast and Creating and Modifying Forecasts pages.
- 'Apply Credits' button added to the Sales Order Entry form - Only enabled when 'Sales orders - apply credits to new orders' is set to Yes.
- Order Defaults and Sales Assignments - The system will now set the order defaults and Sales Assignments based on the following priority: Ship-To Facility record first, then the Ship-To, and then the Bill-To record.
- Allow Multiple Users to Receive Inter-company Transfers on WMS - A new flag, "Allow Multi-User ICT Receiving on WMS", has been added to Sales Options. When checked, different users can receive the same IC Transfer form.
- Define Shipping Accounts on Bill-To Customers - The "Shipping Accounts" tab has been added to the Edit Bill-to Company form. Shipping Accounts defined on the Ship-to Company will be evaluated by the system first during sales order creation. If Shipping Accounts do not exist on the Ship-to Company, the system will check to see if any exist on the Bill-to Company. Additional information is available via the link in the first sentence.
- AvaTax API Log Report - A new Report Type, "Integration Logging", has been added in System > History/Performance when choosing the API type in the report filter. The report is used in connection with the AvaTax API when the "Enable Client Side Logging for Tax APIs" flag is checked in Sales > Options.
- AvaTax Tax Exemption Code - A new field, "Tax Exemption Code", has been added to the Order Defaults tab via Sales > Customers. This field is used only when using the AvaTax integration and when the "Include Tax-Exempt Orders in Tax APIs" field in Sales > Options is checked.
- AvaTax Return SO Tax Date - When using the AvaTax integration, checking the "Return Lots From Linked SO" field in Sales > Options will result in the shipped date from the linked sales order (to_linkto) being used as the "Tax Date" for the linked sales order when sending data to the AvaTax API. This date will be used to determine the refund amount.
- AvaTax - Commit Transactions Flag - A new field, "Commit Transactions To Tax APIs", has been added to the API tab of Sales > Options. The field is set to true by default. If unchecked, regardless of whether a sales order is entered or shipped, the system will pass the value of the Sales Order into the Document Type property at all times for all orders. Allows customers to use Avalara to obtain tax rates but not pay taxes through Avalara's website.
- Facility-specific Ship Via Restrictions - search box filters offers users the ability to only display Ship Vias that are available to that Distributor and can also be used to restrict Ship Vias to specific Facilities and order types (sales or purchasing).
- Re-Authorize All button added to the Credit Card Authorizations Sales Order Management report - When clicked this button will attempt to re-authorize all the sales orders listed. When Re-authorizing the orders, the full auth amount will be used regardless of the terms.
- New security setting - 'Sales Orders -- override do not allow list price for pricing orders' will allow adding items without the setting 'Allow List Price'.
- New Caption on the billadd form - The checkbox captioned “Restrict Ship-From Companies To Ship-To Assignments" was too long, and has been changed to “Restrict Ship-From Companies".
- Printing Invoices and Customer Statements to Email - The "Invoice Email" and "Statement Email" fields on the Edit Bill-To form can be used to define specific email addresses when printing either Invoices or Customer Statements respectively to email. If either of these fields is not populated, then the system will fall back to using the email address in this field. This supports cases where one user receives Invoices and another receives Customer Statements.
- Copy Order for Recurring Orders - When using the "Copy Order" button with an Order Type of Recurring Order, the Recurring Type (to-recurtype) and Recurring Interval (to_recurinterval) are now copied.
- Copy Fields for Linked Sales Orders - A new field, "Prompt To Copy Fields For New Linked SO" has been added to Sales > Options. If checked, and when using the "New Linked SO" button on Sales > Order Reporting reports, the user will be presented with the Linked SO form and the option to select which optional fields will be copied to new linked sales orders Options on the form: Copy Dates (sales dates), Copy Bill-To PO, Copy Ship-To PO, and Copy User Fields.
- Phases Selected on Sales Order Header - The "Phases" button, previously available in legacy versions has been added back to the sales order header toolbar.
- POS Copies To Print Form - A new field, "Prompt For Print Copies", has been added to the Cash Register tab in Sales > Options. This field, if checked, allows users to select the number of copies that can be printed for POS print outs.
- Sales Order - Modify Info Form Security Changes - A new security, "Sales orders -- edit order info from view detail form" has been added. If set to "No", the "Pay Schedule" button and fields on the General tab of the Modify Info Form (launched when viewing the sales orders in view only mode) will be disabled. In addition, the "Sales orders -- modify info from view detail" security notes have been modified to reflect the fact that this security is only for allowing view access to the general fields and user-defined fields. In this way, there are now four separate securities that can be used to control access and permissions for the Modify Info form in sales orders view mode:
- Sales orders -- modify info from view detail - Permission to use the modify info button on the view order form to view sales order info, and header user fields.
- Sales orders -- edit user fields form view order form - Permission to update or add data to user fields on the modify info form.
- Sales orders -- edit sales reps - Permission to change the sales reps on the modify info form.
- Sales orders -- edit order info from view detail - Permission to use the "Pay Schedule" button and update the general fields on the modify info form.
- Update Note: when upgrading to version 17.01.059 a dxpop program will fire to set the "Sales order -- edit order info from view detail" to Yes if the "Sales orders -- modify info from view detail" is set to Yes.
Tools
- Work Flow Return To Button - The Return To button on the Edit Work Flow Sequence form will only be enabled when the workflow sequence opened on the form has a return to sequence specified via the "Return To" field - (t2_returnto). Also, when this button is enabled and clicked, the following yes/no prompt will be displayed: "Do you want to clear previous sequence completions and return to sequence <<t2_name for the sequence in t2_returnto>>?"
- Import and Export Capability for Export Profiles - Import and Export buttons have been added to Export Profiles via Tools > Maintenance > Export Profiles.
Warehouse Management System
- Refresh Button - WMS Form Layouts - The "Refresh" button on the Reserve SO and Receive PO WMS screens has been added to the list for these transactions in System > Maintenance > WMS Form Layouts.
- CipherLabs RS36 Scanner Support - Deacom now supports the CipherLabs RS36 scanner.
