Reserve SO WMS

The Reserve Sales Order transaction allows the one-step reserving of lots, direct from regular Inventory to individual Sales Orders. Reserving takes into account the expiration date on the lot prior to reserving it to the order. Expired lots cannot be reserved to a Sales Order.

Reserving SO form

The table below details the field available to the reserve SO form.

Note: the part substitution rules (beginning in version 17.04) , available via the substitute tabs on Bills of Materials and Item Masters apply to WMS transactions as well. When a substitute is scanned the system will validate against the substitute rules to determine if the substitute is valid, and determine quantity required using conversions.

Field/Button

Description

Sales Order Number

Scan or type. Omit dashes if typing.

Part Number

Identifies the parts that will be reserved. Once the sales number is entered the system will present the first item to be reserved. Drop down list available to reserve a different item. This field can also be sorted using the "Sort SO Picking by" field available to the Sales > Options > Printing tab . The sorting options available are: Item Default Location, Line, Location Type, Lot Location, Part Number, Total Weight, and User-Defined.

Type

Determines where inventory will be reserved. Options are "Sales Order" and "Staging"

Description

Item description. Populates when an item is selected.

Unit

Item stock unit of measure. Populates when an item is selected.

Location Type

Scan appropriate Location Type. Pick list also available with all active Location Types for selected Facility. Location Types are maintained at Inventory > Maintenance > Location Types within the main Deacom application.

Location

Scan appropriate Location. Pick list also available with all active Locations for selected Facility. Locations are maintained at Inventory > Maintenance > Locations within the main Deacom application. Note that if a new Location is selected, the system will attempt to choose lots from that Location for that part in FIFO order. 

  • Note: Scanning a Location encoded with a GS1-128 barcode will count as sufficient lot confirmation if the item is not lot controlled.
  • Beginning in version 16.05.023, a Default Reserve Location may be specified on the General 1 tab of the Item Master and the Item Master Facility tab. In this case, the system will use this Location as the default when reserving to sales orders, for items that have the "Total Catch Weight by Master Lot" property flag checked. Default Reserve Locations may be may be specified on Facility parts. In this case, the Facility specific Default Reserve Location will be used when reserving items marked with the "Total Catch Weight by Master Lot" property flag in the selected Facility.

System Lot

Displays the system lot for the item to be issued. If the item is not lot controlled, the word "System" will be displayed. If the item is lot controlled and "Suggest Lots For Lot Controlled Items in WMS" flag is set on the WMS tab in Inventory > Options, the system will display the FIFO lot for the selected item. If necessary, users can select an alternative lot by clicking the "Lots" button.

Master Lot

Option to reserve item to a master lot. The master lot concept is used in situations where miscellaneous quantities and containers of items are to be grouped together for example on a pallet in order to allow for easier storage and to eliminate the need for multiple moving transactions within the system. Note that when issuing master lots to a Sales Order, the system will display a grid allowing the user to confirm master lot contents before issuing. Users have the ability to issue/reserve inventory that is currently contained in a master lot directly to a Job or Sales Order without having to de-issue/un-reserve the material from the master lot. For example, if scanning a lot label that contains a master lot, the WMS application will display the Master Lot Chooser form, allowing users to issue material from the master lot directly to the Job. In addition, in the main application and WMS, users will have the ability to issue to a Job/Sales Order and master lots all at once via the "To Master Lot" searchbox on the Issue/Reserve Inventory form. Now, when issuing to Jobs/Sales Orders in the system where required material is available in a master lot(s), the system will display the applicable master lots in the list when issuing. A business case example for this necessity would be situations where every single job will not be pre-weighed in a single session. In this situation, if something is short, and workers begin making the master lot anyway, they will need to be able to add to it later when the shortage is resolved.

User Lot

Displays the user lot for the item to be issued. If the item is not lot controlled, the word "System" will be displayed. If the item is lot controlled and "Suggest Lots For Lot Controlled Items in WMS" flag is set on the WMS tab in Inventory > Options, the system will display the FIFO lot for the selected item. If necessary, users can select an alternative lot by clicking the "Lots" button.

  • Note: The WMS application can relieve inventory based on either user lot or system lots. This means that if the barcode contains either a system lot or user lot, the system will know which lots to use for relief.

Lot Quantity

Displays the total on hand quantity across all lots with the quantity required indicated in brackets.

Quantity

Actual quantity that will be reserved. Users can adjust as needed. Users must either scan a barcode, manually type an amount and press Enter on the scanner to confirm the quantity, or select the "Lots" button to select specific lots and quantities.

Notes:

  • The system will automatically convert the quantity in this field (beginning in version 17.04.003) to the stock unit of measure for the substitute part. Specifically, the system applies the substitute factor (su_factor) and then converts to the requirement to the stock unit of the of the substitute part. Supports scenarios where companies need to stock substitutes in different units of measure than the original part. For catch weight items the system will use the value in the item unit weight (pr_unitwgt) in conversions of unit type.
  • The checkbox, "Prompt when Over Reserving" has been added to the General tab of the Facility record. If checked, users will always be prompted with a yes/no prompt to confirm that they are over reserving/staging material on Sales Orders in this Facility. This flag is checked by default. Un-checking the flag is useful in situations where customers will always over reserve, such as when reserving full pallet quantities.
  • The "Sales" tab on the Facility record contains an "Incremental Reserving" field. This field allows incremental issuing of inventory for the selected Facility in the WMS application. Options are Both, Issue, None, and Staging. Incremental reserving was adding for customers that need the ability to track and report lots as they are issued incrementally in Deacom and not just the total "rolled up" amounts or issued materials/lots. For example, if a sales order requires 170 lb of sugar, and sugar is handled in 50 lb bags, they would stage three bags and 20 lb of loose sugar in some container.  For some customers, seeing the sugar listed as 170 lb on the sales order would be fine, some customers however, may have process controls that demand they track the exact containers and increments and thus would want 4 lines of sugar on the order: for 50, 50, 50, and 20 lb respectively.

Serial

Displays the serial number for the scanned serial/lot. If the serial/lot is not scanned, the system will display the serial number for the oldest lot in inventory. Users may select another serial/lot via the "Lots" button.

  • Note: The WMS application will ignore the serial number for parts that are not marked for serialization.

Attribute 1-3

Displays the attributes of the selected lot.

Catch Weight

Displays the catch weight of the selected lot.

Container

Displays the container number for the item to be issued.

Use entire

Pick list with "None", "User Lot", and "Container". If a barcode with a container Application Identifier is scanned, this box will default to "Container". In other cases, this box will default to "None". This box is useful in situations where users wish to issue primarily multiple catch weight items all at once. The process starts by first scanning or entering the catch weight item and the appropriate user lot or container. If the "User Lot" option is selected, all fields on the form will be grayed out except the Part Number, User Lot, New Location Type, and New Location fields. If the "Container" option is selected, all fields on the form will be grayed out except the Part Number, Container, New Location Type, and New Location fields. Once the reserve transaction is complete, all items contained in the specified user lot, even if the items are located in multiple Locations, will be reserved. 

  • Note: When the "use entire lot by default when reserving" is checked in System > Options > Inventory 2, the use entire box is automatically set to "User Lot" when reserving on the scanner.

Lots

Displays a list of available lots for the selected item that can be selected for reserved. Once the button has been clicked, the Find form will be displayed. This form will display all non-expired on hand lots for the selected part and that meet the customer's shelf life criteria. Once a lot has been selected users may click the "Details" button to see additional information as such as catch weight, serial number, density, and expiration dates and attributes for the selected lot. At this point the user may click the "Back" button to return to the list of available lots or click the "Choose" button to complete the process. Once a lot has been selected, the Find form will be closed and the user will be returned to the Reserve SO form to continue with the issuing and selection process.

Options and Notes For Lot Choosing

  • The sort order of the lots displayed on the "Find" form is determined by the "Sort Lot Chooser By" field on the WMS tab in Inventory > Options.
  • If the "Automatically Select Location when Selecting Lots in WMS" flag is on the WMS tab in Inventory > Options, the location finder form will not appear after selecting a lot. Note: Version 17.00.039 adds new logic for this field in conjunction with the following scenario: When using the WMS Reserve SO transaction and the user scans a barcode with AI 30 is 0, the setting for this flag determines the order that Qty and Location are presented to the user. Additional information is available via the link in the first sentence of this selection.
  • Companies have the option to filter the lot chooser by either system lot or user lot. The default behavior is to have the user filter down to the system lot prior to making a selection. In situation where this is not necessary, the field in system option may be set to "User Lot". Additional information including examples is available via the Inventory 2 tab on the System > Options help page.
  • Users that have the security setting "Inventory -- override shelf life" will be able to see and issue expired lots when reserving. Additional information on this option is available in the 14.9 release notes section.
  • When using the Lot Finder form to select a lot and scanning a GS1-128 barcode that contains a quantity, the system will automatically reserve the material to the order.
  • The "Lot Chooser Select" field is available on the WMS tab in Inventory > Options. The field determines if system will automatically select the lot on the "WMS Lots Chooser" form if only one lot is available for the selected part. Options are Automatic and Manual. Automatic is the default value. If set to Manual, the user will be required to select the lot in the "WMS Lot Chooser" form even if there is only one record. Business Case - When issuing to jobs or reserving to sales orders in the WMS application, companies may wish to have the user verify the lot that will be chosen even if there is only one.
  • Application Identifier 250 can be used in Barcodes to represent the Container Number. Scanning an AI of 250 will filter for lots, of the part number selected on the Reserve SO form, in the specified container.
  • If the "Suggest By" field in Inventory > Options is set to "Location," users will not be able to use the Lots button unless the security setting "WMS -- select lots when suggesting by location" is set to Yes for that user. Setting the "Suggest By" field to "Location" is used when utilizing the snake picking feature in Deacom. The security setting can be set to yes in situations where the lot in the suggested Location is not enough to satisfy the sales order requirements and users need to select a lot in another Location.
  • Inventory lots in Containers can be reserved to sales orders. Additional information is available via the Utilizing Containers page.
  • Beginning in version 16.07, lots can be exclude for shipment to certain Customers. Additional information is available via the Excluding lots for production use and shipment for specific customers help section.

Save

Completes the reserving process.

Undo

Removes immediately previous lot from reserve list.

Exit

Cancels the reserving process and exits to the main WMS menu. Lots scanned previously will not be reserved .

  • Note: If the user exits/cancels prior to hitting the "Save" button, scanned or entered lots will not be reserved.

Print Label

Prints lot label once changes have been saved. Default for the flag is set in the System > Options "Print labels when issuing" flag on the Inventory tab. 

  • Notes:
    • If the print label box is checked, then the user will be presented with the printer selection form when completing the transaction. The printer selection form contains options to select the number of copies to print, the printer where the labels will be printed and the remember settings field. The remember settings field contains a drop down box with three options: Line, Order and Never. Line sets the functionality of remembering the print settings just for the selected line. Order will remember your print settings during the whole order, and Never will not retain any print settings.
    • The ability to have this box checked by default is controlled by the "Print Label By Default" checkbox on the Printing tab in Sales > Options.
    • The "Remember Settings" flag also works in conjunction with the "Incremental Issue" option via Inventory > Maintenance > Facilities.

Retain Location

If selected, the Location and Location Type of the lots are not changed. Default for the flag is set in Inventory > Options > Printing tab "Retain Location When Issuing" flag.

  • Note: If the "Retain Location When Issuing" flag is set and the security setting "WMS -- Override retain location when reserving" security option is set to false, the Choose Location form will not be displayed when using the "Reserve SO" transaction is used. This is useful in situations where companies will reserve inventory and always retain the current location.

Location Type

Option to select a new Location Type where the inventory will be moved at the conclusion of the reserving process. Users may type the beginning letter/numbers of know locations to further filter search results.

Location

Option to select a new Location where the inventory will be moved at the conclusion of the reserving process. A typical example would be a Location specifying a series of shelves next to the shipping dock. If the user does not enter a new Location and new Location Type, they will be prompted to confirm they do not wish to specify these values when attempting to save the transaction. Users may type the beginning letter/numbers of known Locations to further filter search results.

Make Master Lot

Option to create a master lot containing the items/lots that are set to reserve for the selected Sales Order or for Staging. The user will be prompted and given an option to print a master lot label when finishing the Reserve SO transaction. Note that the ability to have this flag checked by default is controlled by the "Make master lot by default when reserving in WMS" flag on the inventory 2 within System > Options. The "Master Lot # Generation" and "Master Lot Expression" fields located in Inventory > Options determines how Master Lot numbers will be entered or generated when using this transaction.

Print Master Lot Label

Ability to print the master lot label when creating a master lot on this form.

Print Document Group

If selected, the document group assigned to the sales order, via the Misc 1 tab, will be printed at the completion of the reserving process. Useful when picking and reserving inventory at the same time, allowing users to print shipping labels and packing lists for example.

Ship on Save

Option to ship the order once all inventory has been reserved and all information has been correctly entered. This checkbox is only displayed when the Reserve SO form is accessed from the Ship Sales Order form in WMS, Useful for a more streamlined process with less user interaction in applicable situations. The ability to have this box checked by default is controlled by the "Ship on Save" box on the facility record via Inventory > Maintenance > Facilities.

Notes on reserving with the scanner in Deacom

  • Beginning in version 16.07.048, the "Allow Multiple Users to Reserve Simultaneously On WMS" field is available in Sales > Options. This field, if checked, allows multiple users can reserve to the same sales order via the Reserve SO transactions in the WMS system and is useful in situations where multiple pickers will be reserving to the same sales order in different Zones or Locations, particularly for companies that use the Zone picking options in Deacom. This field was re captioned to "Allow Multiple Users to Reserve Simultaneously" beginning in version 17.04.008 when the field was expanded to allow multiple users to reserve in both the main application and WMS application.
  • When scanning 3 of 9 barcodes, the cursor on the scanner must first be placed in the field corresponding to the barcoded information. For example, if scanning a Deacom part number, the cursor must first be placed in the part number or item field within the Deacom WMS application running on the scanner.
  • The security setting "Sale -- Reserve master lots with items not required" is available in situations where customers wish to ensure that users cannot reserve a master lot that contains items that are not on the order.
  • The WMS tab in Inventory > Options contains the "WMS Lot Priority" option. This option determines how the WMS application will handle lot priority when multiple lots match the filter during issuing and reserving transactions. Options are "Full" and "Smallest". When set to smallest and multiple lots match the filter, the system will prioritize the smallest lots first. If set to full and multiple lots match the filter, the system will prioritize the full lots first.
  • The Inventory Option "Enforce Barcode", on the WMS tab can be used to ensure the correct barcode types are scanned during the issuing process.
  • If the sales order selected is an Inter-Company Transfer and a label is scanned for a system lot with records in both staging and inventory, the system will use the lots from staging first and then pull the remaining quantity from the lots in inventory. The security setting of "Inventory -- stage inventory across facilities" will need to be set to "Yes" for users in this scenario.
  • If "Backflush Catch Weights on WMS" is checked, when a Master Lot label is scanned and possesses all lots of the same item with equivalent catch weights, the quantity entered on the form is treated as the quantity of lots to use. When the action is processed, the system backflushes lots out of the Master Lot in FEFO order.
  • Beginning in version 17.01.003, the system will automatically assign serial numbers to lots if using the "Serialize on Reserve" field on the Bill-To/Ship-To customer records.

Reserving and splitting Master Lot total weights in the WMS

Deacom Version 16.05.008 adds the ability to specify the total weight of Master Lots when receiving catch weight items on Purchase Orders in the WMS application. This feature also enables the system to split out Master Lot total weights when reserving to sales orders in the WMS application.

When Reserving to a Sales Order, if the selected item has the "Total Catch Weight by Master Lot" flag checked, and the catch weight AI is scanned, the system will decrement the amount scanned from the total quantity within the master lot that is currently on the form (If no master lot is filled in or is not in the scanned barcode, a prompt will display indicating that a master lot must be filled in for Total Catch Weight by Master Lot) and proportionately spread the difference across all other lots with the same master lot / user lot / part number / facility / location. Note the system will decrement the inventory in the Inventory In (dtfifo) table in FIFO order.
