Final Staging

Final Staging is the second step in the two step staging process, and results in the material that was pre-staged being issued to the production Job. The process allows for the printing of lot labels, so that measured components can be identified by Part Number, Lot number, quantity, and Job Number. If inventory has been pre-staged for Sales Orders, users must reserve inventory to Sales Orders individually. 

Below are a few additional notes regarding system security and functionality for this form:

  • The system will not display a confirmation message after all Parts have been final staged. However, if a Part has already been issued and it is selected again in the "Part Number" field, the system will indicate that it has already been issued ask the user if they want to continue issuing the Part to the Job.
  • The "Apply" transaction will not occur automatically when a Lot is scanned during Final Staging. When a lot is scanned, and the "Scan Lots" box is checked on the Final Staging form, the cursor will jump to the "Quantity" field, which can be scanned in or manually entered. Once this is complete, the "Apply" button must be clicked to complete the staging process. Previously, users were required to scan/enter the quantity or weight of a Lot before scanning/entering the Lot number itself.
  • If using multiple iteration Final Staging:
    • When "Job Staging Counts" on the Job Category is set to a value greater than 1, Job Final Staging (for Jobs assigned to that Job Category) can be performed multiple times.
    • Prior to reaching the iteration value defined via Production > Options > WIP tab "Job Staging Counts", material is in the same state as pre-staged inventory.
    • Once the iteration count reaches the value defined in Production Options, material will be issued/reserved.
  • The security settings "Production -- Final stage without full requirements" and "Sales -- Final stage without full requirements" allow users to final stage even if all required materials were not pre-staged.
    • If this security is set to Yes, the user will receive a prompt stating "The requirements for the Job/Sales Order have not been fully pre-staged, are you sure you want to final stage?".
    • If this security is set to No, the system will display a prompt indicating the user needs the appropriate security and will not allow the staging process to continue.
  • The security setting "Inventory -- Final stage by master lot" allows issuing by scanning/picking a Master Lot without going Lot by Lot. If a Master Lot label is scanned and "Next" is clicked, all the inventory in that Master Lot will be final staged. This allows users to use a pallet by pallet approach when scanning/issuing.
    • If the security setting is set to No, the current functionality is used - specifically, if a user scans a Master Lot label, it populates the "Master Lot" field to what was scanned and filters down the available Lots. This allows the user to verify that the Master Lot that was created is correct by Final Staging each Lot contained in that Master Lot. This is important in multiple iteration Final Staging.
  • The security setting "Inventory -- final stage expired lots" allows users to final stage lots that have expired after they were pre-staged. This setting applies to both the main application and the Warehouse Management System. If a user does not have this security, they will not be able to final stage expired lots. The lots will be removed and the user will be prompted with the following message: "The following lots are expired, please un-stage them and pre-stage new lots."
  • The Final Staging process conforms to the "Sequential" flag on a Part's BOM Line via the Bills Of Material Edit BOM Line form. If this flag is checked, it tells the system that items are to be staged in the order they are sequenced on the BOM Revision. If users attempt to issue to a BOM line that is flagged as "Sequential" without first issuing to any BOM lines before this one, the system will display a prompt indicating the previous part needs to be issued/staged first.
  • When reading a weight via a Scale, a green border will appear on the form if the weight obtained is within the defined range of the Under-Issue and Over-Issue limits on the Part/BOM. If the weight obtained is outside of the defined range, a red border will appear.
  • When a Master Lot is selected in the "To Master Lot" field during final staging of inventory, the New Location Type and New Location fields will now be populated with the Location information of the chosen Master Lot. These fields, along with the Retain Current Location checkbox, are then disabled. This is done since a Master Lot, by definition, occupies one inventory location. During the final stage process the user may be staging multiple items. In this case, the requirement to reselect the Location Type and Location for each item is redundant.
  • BOM Lines contain a "QC To Continue" field, that if populated with a QC Test, requires the test be performed before items on subsequent BOM lines will be displayed for issuing in the "Part Number" field on the Final Staging form.
  • Beginning in version 16.04.033, the "Direct Staging" field on the MRP pre-filter allows users to exclude staged inventory (pre-staged or final staged) from the +Onhand bucket and have staged inventory display in the +Reserved or +Issued buckets respectively. Prior to version 16.04.033, staged material will display in the +Onhand bucket in MRP.
  • Beginning in version 16.07.054, logic was added for Job Final Staging (in the Main Application and WMS via the Final Staging transaction) that applies only during the final iteration of staging for jobs. If any incomplete Work Flow Sequences on the job have the Required to Issue field checked, a system prompt/incomplete sequences form is displayed which blocks the staging operation from completing.
  • Beginning in version 17.02.011, the system was modified when using staging iterations with Master Lots. When final staging a job and scanning lots from a master lot individually (by scanning a lot label instead of of the master lot label), the system will keep the master lot intact if the user is staging the master lot lots to the same location the master lot is already in.

Apply

If clicked, stages the Lot to the selected Job/Sales Order for the selected Part.

View Issued

If clicked, generates an Inventory Reporting Lot Summary report displaying issued lots and quantities based on the Job and Part Number selected.

View Reqd

If clicked, displays the list of the quantities of the materials or components required to complete the Job based on its BOM. This button is only enabled when Type is set to "Job."

View Staged

If clicked, generate an Inventory Reporting Lot Summary report displaying staged lots and quantities based on the Job and Part Number selected.

Added in version 17.02.012.

  • Note that inventory lots summed as a result of the "Summarize Lots When Viewing Issued Materials" system option will not apply to the "View Staged" button.

  • The Inventory Lot Summary report grid (invlot) contains a new variable/column called "Iteration" to display the staging iteration (st_stagcnt) for the stagged lot.

Print

If clicked, displays the Copies to Print form allowing users to print order documents and document groups for the selected sales order or job.

Use First Exp.

If clicked, the system will populate the "User Lot" and "Location" fields with the first-to-expire Lot information available based on the Part Number selected.

  • Only available when "Pick Order" is set to "FIFO" on the selected Part's Item Master > General 2 tab.

Use Oldest

If clicked, the system will populate the "User Lot" and "Location" fields with the oldest Lot information available based on the Part Number selected.

  • Only available when "Pick Order" is set to "FIFO" on the selected Part's Item Master > General 2 tab.

Use Last Exp.

If clicked, the system will populate the "User Lot" and "Location" fields with the last-to-expire Lot information available based on the Part Number selected.

  • Only available when "Pick Order" is set to "LIFO" on the selected Part's Item Master > General 2 tab.

Use Newest

If clicked, the system will populate the "User Lot" and "Location" fields with the newest Lot information available based on the Part Number selected.

  • Only available when "Pick Order" is set to "LIFO" on the selected Part's Item Master > General 2 tab.

Tare Scale

If clicked, sets the tare weight on the connected scale.

  • Only available when staging inventory via a scale.

Zero Scale

If clicked, zeroes the weight on the connected scale.

  • Only available when staging inventory via a scale.

Substitute Lots

If clicked, opens the Apply Inventory form displaying all System Lots that belong to the "User Lot" selected. Only available when "Staging Lot Substitution" in Inventory > Options > Staging tab is set to "System Lot". Allows the user to substitute any System Lot for the currently staged System Lot, as long as:

  • The new System Lot is within the User Lot of the original System Lot selected
  • The quantity in the new System Lot has enough to satisfy the original System Lot's quantity.
  • The new System Lot is in an appropriate status - i.e. it has passed any necessary QC tests and is in an inventory segment other than WIP, Quarantine, or In Transit.

Type

Pick list used to select if the transaction will be performed for a Job or Sale.

Job Number/ Sales Order

Search field used to select a specific Job or Sales Order.

  • Displays as "Job Number" or "Sales Order" when "Type" is set to "Job" or "Sale", respectively.

Part Number

Search field used to select the Part from the Job/Sales Order selected that will be staged.

  • BOM Lines contain a "QC To Continue" field, that if populated with a QC Test, requires the test be performed before items on subsequent BOM lines will be displayed in this field.

BOM Sequence

Pick list used to select the BOM Sequence number for which staging will occur when a Part is contained on a BOM more than once, as well as the Part Number and Part Description.

  • Available in versions 15.03.031 and higher.When the "Group By Part Number In Final Staging" flag is not checked in Inventory > Options > Staging tab.
  • If no Part Number is selected, all items will display in the BOM Sequence box. When the proper item is selected, the Part Number field will automatically be populated. When the Part Number field is populated, the BOM Sequence field will be filtered only to BOM sequences for the specified part.
  • If a Part Number is selected for a BOM Sequence that has already been fully staged, the user will be prompted.

Substitute Part

Search field used to select a valid substitute for the displayed Part Number, unless a substitute was already pre-staged, then the substitute part is displayed and the search is disabled.

  • A valid substitute may be selected/searched only if the substitute part was previously issued to the general "Staging" inventory bucket and the system does not know the specific item the substitute is for. When a valid substitute is selected, the 'Unit', 'Formula Req', 'Staged Quantity', 'Balance', and 'Remaining' fields on this form will be refreshed to be accurate for the selected 'Substitute Part'.
  • The methods in which a substitute part can be pre-staged to a specific item are:
    • Via the Issue Inventory transaction when using "Staging/Job" or "Staging/Sale" in the Type field.
    • Via Inventory > Pre-Stage when pre-staging to a single job or sales order.
  • If the substituted part was pre-staged, the substitution will be valid for all iterations of final staging when using the final staging iteration feature.
  • Added in version 17.02.006.

Pre-Staged From

Pick list to select the type of inventory will be final staged.

  • Automatic - Staged lots and lots specifically staged to the job are able to be selected and used. This is the default.
  • Specific - Filters the locations and lots down to the lots that were pre-staged specifically to the job on the form.
  • General - Filters the locations and lots down to the lots that have an fi_type of 'staging' but were not pre-staged to a specific job.

Note: General and Automatic may only be selected on iteration 1. After the 1st iteration, only specific may be used.

Iteration

Pick list used to dictate what staging increment is being performed. Options are determined by how many iterations have already been performed and the values entered in (1) the "Job Staging Counts" field on the Job Category assigned to the Job and (2) the "Job Staging Counts" and "SO Staging Counts" fields in Production > Options > WIP tab and Sales > Options > Other tab, respectively. 

Facility

Search field used to select the Facility from which material will be staged. 

Inventory Facility

Pick list used to select the Facility to which material will be staged. An inventory Facility is not required when staging inventory by master lot.

Location

Pick list used to select the Location from which material will be staged. Options are all Locations that contain pre-staged Lots of the selected Part.

User Lot

Pick list used to select the User Lot that will be staged. Options are all pre-staged Lots of the selected Part based on the selected Location.

Master Lot

Search field used to select a Master Lot from which material will be staged.

System Lot

Pick list to select the specific system lot that will be staged. The system lots that will be displayed in this field are based on the following parameters and logic:

  • When the "Pre-Staged From" entry is set to 'Automatic' and a part number is selected all system lots(fi_lotnum) that have been staged, and based on other pre-filter settings on this form, will be displayed in this field. Other filters includew: Inventory Facility, Location, User Lot.
  • When the "Pre-Staged From" entry is set to 'General' and a part number is selected all system lots(fi_lotnum) that have been staged, but not to the specific job selected will be displayed.
  • When the "Pre-Staged From" entry is set to 'Specific' and a part number is selected all system lots(fi_lotnum) that have been staged to the specific job selected will be displayed.
  • When a specific 'User Lot' is selected, all system lots(fi_lotnum) that have been staged from the selected user lot will be displayed. When a 'User Lot' is selected, the "System Lot" field will remain on 'System' even though specific system lots may have been loaded as options. Note: when 'System Lot' = 'System' and the user clicks 'Apply', the system lots final staged will be automatically selected in FIFO order.

Scanned System Lot 

When a value is scanned/entered into this field, the system will update the disabled 'System Lot' combobox if the value entered here matches any values in the combobox to the one that was entered.

  • This field is only enabled when Scan Lots is checked.
  • This field is cleared after hitting the "Apply" button.

Lot Number

Displays the Lot Number.

Beginning in 17.00.012 this box and any associated functionality is replaced with the "System Lot" field above.

Formula Required

Displays the quantity of the Part being staged to complete the requirements of the Job selected, i.e, the total amount of this part the formula requires.

Staged Quantity

Displays the quantity of the selected Part which has already been final staged in a previous iteration. This field will always show 0 on iteration 1.

Balance

Displays the difference between the Formula Required and Staged Quantity, i.e, the amount left to final stage.

The field is available beginning in version 17.00.017.

  • The system will automatically convert the quantity in this field (beginning in version 17.04.003) to the stock unit of measure for the substitute part. Specifically, the system applies the substitute factor (su_factor) and then converts to the requirement to the stock unit of the of the substitute part. Supports scenarios where companies need to stock substitutes in different units of measure than the original part. For catch weight items the system will use the value in the item unit weight (pr_unitwgt) in conversions of unit type.

Remaining

Displays the amount left to stage for the current iteration based on what has already been staged to the part number selected in the part number searchbox. 

Quantity

Used to dictate the amount being staged.

  • When final staging both jobs and sales orders, the default is based on the "Default Final Stage Qty" set via Inventory > Options > Staging tab.
  • The system will automatically convert the quantity in this field (beginning in version 17.04.003) to the stock unit of measure for the substitute part. Specifically, the system applies the substitute factor (su_factor) and then converts to the requirement to the stock unit of the of the substitute part. Supports scenarios where companies need to stock substitutes in different units of measure than the original part. For catch weight items the system will use the value in the item unit weight (pr_unitwgt) in conversions of unit type.

Scale Model

Picklist used to select a Scale to use. If a default Scale Model is defined, it will be displayed in this field but may be changed by the user. The option to change Scales during Final Staging is useful in situations when using different scales to weigh various type of items. 

Date

Displays the date that will be used to issue Lots.

To Master Lot

Search field used to select an existing Master Lot to which material will be added. When selecting an item in Final Staging that is already on a Master Lot, the system will disable the "To Master Lot" field. The most recent Master Lot where the part was placed previously will be displayed in this field.

New Location Type

Search field used to select a Location Type to which the Lot will be issued based on the selected Facility.

New Location

Search field used to select a Location to which the Lot will be issued based on the selected Location Type.

Notes

Memo field used to store notes regarding the transaction. This field is linked to the "Note Message Format" field on the New Scale form. If information is contained in the "Note Message Format" field for the item/lot being staged, and the "Read Weight" flag is checked, the information will be written to this field. Anything in the "Notes" field will be overwritten. Designed for situations where customers want to capture the Gross and Tare weights during weigh up.

Retain Current Location

If checked, the system will keep the inventory in its current location instead of moving the issued inventory to the new location specified. Defaults based on the "Retain Location On Issue / Reserve Form" flag in Inventory Options.

Create Master Lot

If checked, the system will simultaneously issue to the Job and create a Master Lot. 

Scan Lots

If checked, (1) disables the "Location," "User Lot," "Use First Exp.", and "Use Oldest buttons/fields, (2) enables the "Lot Number" field, and (3) allows the user to scan Lot barcodes after a Part Number has been selected. The "Use First Exp." and "Use Oldest" buttons are disabled since users will not use these buttons if lot information is meant to be scanned. 

Read Weight

If checked, disables the "Quantity" field and allows that field to be populated by weighing the material via a connected Scale. Defaults based on the "Read Weight From Scale By Default In Final Staging" flag in Inventory > Options > Staging tab. The security setting "Inventory -- change Final Staging read weight" determines if users can check or uncheck this flag.

Print Lot Label/ Print SO Label

If checked, prints a Lot label that may contain details such as the Lot Number, quantity, attributes, new location, and Job/Sales Order Number to which the Lot is issued.

  • Displays as "Print Lot Label" or "Print SO Label" when "Type" is set to "Job" or "Sale", respectively.
  • The resulting label may be used by production workers or sales pickers during the production/sales processes.
  • May be used in conjunction with the "Print Master Lot Label" flag, if desired.

Print Master Lot Label

If checked, prints a Master Lot label containing the Lots and quantities within the Master Lot if the "Create Master Lot" flag on this form is checked or if the "Master Lot" field is populated.

  • The resulting label may be used by production workers or sales pickers during the production/sales processes.
  • May be used in conjunction with the "Print Lot/SO Label" flag, if desired.
  • The "Print Master Lot Label By Default In Final Staging" flag in Inventory > Options > Staging tab determines if this field will be checked or unchecked by default. Users may check or uncheck the box as necessary.
